("Pyfinexus", "we", "us", "our") collects, uses, shares, and protects data when you use VaahanIQ, our fleet management platform available at fleet.vaahaniq.in and vaahaniq.in (the "Service"). This Policy should be read alongside our Terms & Conditions.
1. Introduction
VaahanIQ is built for Indian transport businesses — brokers, transporters, parcel services, and bus operators — to manage vehicles, drivers, operations, and accounts in one platform. As part of delivering the Service, we collect and process certain data belonging to your business, your employees, and your drivers. This Policy explains what we collect, why, and how it's handled.
By using the Service, you agree to the collection and use of information as described in this Policy.
2. Data We Collect

We collect this data when you or your team enter it into the Service, and in some cases from third-party government sources as described below.
3. How We Use Your Data
- To provide, operate, and maintain the Service;

- To verify vehicle and driver records against government databases;
- To communicate with you about your account, updates, or support requests;
- To monitor and improve platform performance and security;

We do not use your business, vehicle, or driver data to train third-party AI models, nor do we sell it to data brokers or advertisers.
4. Third-Party Data Sources
To verify vehicle and driver records, the Service may query government and regulatory data sources — including VAHAN (vehicle registration), Sarathi (driving licence), challan records, and FASTag/toll data — via authorised API access such as API Setu/NAPIX. Data returned from these sources is used to populate and cross-check records within your tenant environment. We do not control the accuracy or availability of data from these external systems.
6. Data Security
We implement reasonable technical and organizational safeguards to protect your data, including tenant-level data isolation (each Customer's data is logically separated from other tenants), encrypted data transmission (HTTPS), and role-based access controls within the Service.
However, no method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security. The Service is hosted on third-party infrastructure providers. While we take reasonable care in selecting reputable hosting providers, we do not own or directly control the underlying physical infrastructure, and we are not liable for data loss or security incidents arising from failures at the infrastructure provider level that are beyond our reasonable control.
7. Data Retention
We retain your data for as long as your account remains active and as needed to provide the Service. Upon termination of your subscription, you may request export of your data within a reasonable period, after which we may delete it from our active systems, subject to any legal or accounting retention obligations (such as GST record-keeping requirements).
8. Your Rights & Choices
Depending on your role and applicable law, you may have the right to:
- Access or request a copy of data held about your business, employees, or drivers;
- Correct inaccurate data within the Service directly, or by contacting us;
- Request deletion of data, subject to legal and operational retention requirements;
- Withdraw consent for optional data processing, where applicable.

10. Children's Data
The Service is intended for business use by transport companies and their authorised personnel. It is not directed at, or intended for use by, individuals under the age of 18.
11. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. Material changes will be communicated via the Service or by email. Continued use of the Service after changes take effect constitutes acceptance of the revised Policy.
